To confirm your booking, a certain advance payment is required. The remaining balance can be settled either before you depart from your country or upon arrival in India, but it must be done before the services begin. The amount of the advance payment is determined by management based on the service type and how soon the service starts. In some cases, such as special train journeys or hotel bookings during peak seasons like Christmas or New Year, full payment is needed in advance.
If you need to cancel your tour or travel services for any reason, please inform us in writing. Cancellation charges will apply from the date we receive your written notification, as follows:
Please note: We accept written cancellations on all working days except Sundays. Cancellations made on Sundays will be processed on the next working day (Monday).
During the Christmas and New Year period from December 20th to January 5th, payments are non-refundable.
If you cancel after the trip has started, refunds will be limited, depending on what we can recover from our hoteliers and contractors. We are not responsible for refunds on unused hotel accommodation, transportation, or missed meals.
Flight Tickets Booked Are Non-Refundable. Name change and date change can be considered as per the rules stipulated by the airline.
Please note that all wildlife safaris booked in any of the Indian Wildlife National Parks/Sanctuaries are non-refundable. Requests for date changes will also be treated as cancellations, and no refunds or adjustments will be made.
For unused or unutilized services that have been paid for and canceled in advance, the refund amount will be calculated based on the cancellation policy outlined above. The refunded amount will be returned to the individual who made the payment to us.
Please be aware that the refund process may take a minimum of 5-6 weeks due to banking procedures. If the refund is issued to a credit card account or bank account, any applicable bank charges will be deducted from the refund amount. We only accept written communication regarding refund inquiries.
All guests, including Foreign Nationals, Non-Resident Indians (NRIs), and Indian Nationals, must provide a photo ID at the time of booking confirmation for tours. The following documents are applicable for different categories:

Please be aware that if there are any increases in entrance fees to monuments/museums, taxes, fuel costs, or guide charges by the Government of India after the finalization of the Tour/service Cost, these additional charges will apply. Optimal India Tours acts solely as an agent for hotels, airlines, transporters, railways, and other service providers. All documents issued by us are subject to the terms and conditions of these service providers.
Itineraries provided are sample schedules and may change due to factors like weather, road conditions, or participants' physical abilities. We reserve the right to alter schedules for the safety and comfort of our travelers.
Our rates are based on negotiated agreements with hotels and airlines, which may change without notice. If rates are modified by these providers, we may adjust our quoted rates accordingly. Hotel bookings follow standard check-in and check-out times unless specified otherwise. We are not liable for delays or changes to the itinerary caused by natural events, flight cancellations, accidents, equipment failures, weather, illness, political issues, or other unforeseen circumstances.
We are not responsible for any loss, injury, or damage to property resulting from events beyond our control, such as natural disasters, accidents, wars, strikes, thefts, or medical regulations. We do not provide insurance covering accidents, sickness, theft, or other incidents. Visitors are advised to arrange such insurance in their home country. All personal belongings are at the client's risk.
Please note: We are not liable for any expenses incurred due to unforeseen circumstances like landslides, roadblocks, or bad weather.
